About the Position

Woodfords Family Services is seeking an Executive Assistant.  The Executive Assistant is responsible for supervising the administrative assistant pool and providing administrative support to the Executive Director, the Development Department and the Management Team.


•    Assist the Executive Director with tasks including: organize and prepare for meetings, serve as a liaison to the Board of Trustees, perform routine tasks such as filing, word processing, copying, faxing, scheduling and more
•    Provide administrative support to the Development Director, including data entry and database maintenance, event support, materials preparation, research, bulk mailings and correspondence
•    Supervise the agency’s administrative assistant pool, including the Receptionist. Coordinate administrative coverage as necessary and maintain smooth functioning of the reception area
•    Support agency functions, including: coordinate licensing applications and materials, maintain vendor relationships for office supplies, stationery, cell phones and more, prepare agency deposits and manage petty cash accounts


•    Excellent computer skills with proficiency in Microsoft Office (including Word, Excel, Publisher and PowerPoint) and Microsoft Outlook
•    Experience with data entry and database management
•    Knowledge of and fluency with correct grammar, spelling and punctuation, modern office methods, filing, business letter and report writing
•    Fluency with office and computer equipment including: telephone, computer, photocopier, printer, scanner, fax, iPad, smart phone, video conferencing equipment and software and other electronic devices
•    Experience managing an office environment and office staff
•    Have excellent organizational and communication skills
•    Have excellent interpersonal skills

Education Requirements

•    Associate Degree or relevant experience
